This Privacy Policy sets out the basis by which the Society processes your personal data.

Data Controller

The Friends of Quantocks (FotQ), registered charity no. 1154378, is the ‘Data Controller’ for the purposes of the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) 2018.

Storage and processing of your membership information

FotQ will store your membership information securely on the Society’s membership database and may use your information in the following ways:

  • To process your membership payment each year;
  • To process your Gift Aid payment every year (if relevant);
  • To update you on our projects and the events we organise;
  • To send you governance information including Annual General Meeting dates, minutes and agendas;
  • To update your information.

Security of your financial payment information

FoQ wish to ensure your financial details are held as safely as they can be and thus we do not store any details relating to your bank account or other payment methods; instead all payments are collected through the Direct Debit system through top provider AcessPaySuite:

  • AccessPaySuite meets the highest standards of regulatory compliance, giving you the confidence that every transaction is safe and protected.
  • You benefit from the Direct Debit Guarantee- if an error is made in the payment of your Direct Debit, by us or your bank or building society, you are entitled to a full and immediate refund of the amount paid from your bank or building society.
  • You can cancel a Direct Debit at any time by simply contacting your bank or building society. Written confirmation may be required. Please also notify us.

Third parties and your information

FoQ uses third party providers to deliver part of the services it provides to you. FoQ will never sell your information to third parties. The following third parties are currently used:

  • MailChimp, to send you emails.
  • HSBC Bank to process membership and other payments.
  • PayPal to process membership payments.
  • Microsoft Excel to store your data.

Changes to your information

The Society will retain your information until you decide otherwise. If you would like to access the information the Society holds about you or if you would like to change information that we hold, please contact the Membership Secretary by email at [email protected]
